Privacy Notice - Car park passes at Knowle Green offices

Spelthorne Borough Council is the data controller within the meaning of the Data Protection Act 2018 and the UK General Data Protection Regulation.

  • the Council will collect your name, number plate and, for staff, department information or for other users, your company's name to add onto our spreadsheet and will process your information under the lawful basis of legitimate interest
  • the interests we have in collecting this data is to ensure that users of the Knowle Green offices car park are in the parking allocated to them, and to check number plates if there have been any reports of damage to cars
  • your information will be shared with Facilities Management Team. In the event of an accident occurring, we may disclose your number plate and name to the relevant authorities
  • the information will not be passed on to any other third parties or transferred out of the EU. You will not be subject to any automated decision-making
  • the Council aim to keep your data in their system only for as long as you need access to the car park.  Once Facilities Services have been advised that you no longer need access to the council Knowle Green Offices car park they will delete your data
  • if you do not provide this data, the Council cannot issue a car parking permit

You have the following rights:                            

  • you have the right to be informed via Privacy Notices such as this,
  • you have the right to request access to and to receive a copy of any information we hold about you (including in an electronic format) - to request a copy of this information you must make a subject access request in writing,
  • if you find that the information Spelthorne Borough Council holds about you is no longer accurate, you have the right to ask to have this corrected,
  • you have the right - under certain conditions - to ask us to erase your personal data,
  • you may request that Spelthorne Borough Council stops processing your personal data in relation to any council service (this may delay or prevent us delivering a service to you, we will seek to comply with your request but may be required to hold or process information to comply with our legal duties).

You also have the right to make a complaint to the Information Commissioner's Office (ICO). This is an independent body responsible for making sure that organisations comply with Data Protection legislation.
