Privacy Notice - Complaints or enquiries received regarding the Leisure Centre Consultation

Spelthorne Borough Council (SBC) is committed to protecting your privacy and security. This notice explains how and why we use your personal data, to ensure you remain informed and in control of your information.

What information we have

Spelthorne Borough Council has received your personal data from our Councillors which includes your name, address, telephone number, email etc. together with information you gave the Councillor regarding your enquiry or your complaint.

Why we need it and what we do with it

We need to use your personal data so we can investigate and administer your complaint and provide a response to you / comments on the consultation. The legal basis for using your personal data is as a 'Public Task'.

Your personal information will be treated as confidential however it may be shared within the Council services in order to deal with your enquiry/complaint. We will only use your information in ways which are permitted by the General Data Protection Regulation and the current UK Data Protection law.

We will not disclose your personal information to third parties for marketing purposes.

So your comments / complaints are included as part of the Leisure Centre Consultation, your data will be shared with the Comms and Engagement company employed to work on our behalf for the sole purpose of the Leisure Centre Consultation.

How long will we keep your data for?

We will keep your information for as long as it is required by us or other regulatory bodies in order to comply with legal and regulatory requirements or for other operational reasons. In most cases this will be a minimum of six years.

  • to request access to and to receive a copy of any information we hold about you (including in an electronic format) - to request a copy of this information you must make a subject access request in writing
  • to ask SBC for information about you to be corrected if it is no longer accurate
  • to ask us to erase your personal data under certain conditions
  • you may request that SBC stops processing your personal data in relation to any council service (this may delay or prevent us delivering a service to you, we will seek to comply with your request but may be required to hold or process information to comply with our legal duties)
