This Privacy Notice is for both those needing assistance and those making a referral on behalf of those needing assistance.
In the current circumstances we may make changes to this privacy notice and so would encourage you to check it from time to time.
In order to comply with the Data Protection Act and General Data Protection Regulation, Spelthorne Borough Council (SBC), Knowle Green, Staines upon Thames, TW18 1XB must provide you with the following information about the personal data we have for you:
- the Council will use the data provided to provide the following welfare services to vulnerable residents of Spelthorne:
- food assistance, including Meals on Wheels and basic supplies
- money advice
- medication assistance
- welfare phone calls
- we will be processing your information under Public Task
- other organisations/ people are able to refer you to SBC for this service; if you want further information on what categories of information we have on you please contact data.protection@spelthorne.gov.uk
- your information may be shared with relevant third parties for emergency planning purposes
- your information may also be used in emergency situations, for example, to pass medical information to the ambulance service, or if there is any concern regarding the welfare of individuals

There are currently no plans to share your with volunteers however this may change depending on changing circumstances.

- the Council will keep your data for a maximum of 6 years after you have stopped receiving such services or, if you do not receive any services for six years from the date that you provided your information
- if you are the person who is making/has made a referral then we will keep your data for a maximum of 6 years after the person you referred has stopped receiving such services, or, if they do not receive any services, for six years from the date that you provided your information

You have the following rights:
- you have the right to be informed via Privacy Notices such as this
- you have the right to request access to and to receive a copy of any information we hold about you (including in an electronic format) - to request a copy of this information you must make a subject access request in writing
- if you find that the information SBC holds about you is no longer accurate, you have the right to ask to have this corrected
- you have the right - under certain conditions - to ask us to erase your personal data
- you may request that SBC stops processing your personal data in relation to any council service (this may delay or prevent us delivering a service to you, we will seek to comply with your request but may be required to hold or process information to comply with our legal duties)

You also have the right to make a complaint to the Information Commissioner's Office (ICO). This is an independent body responsible for making sure that organisations comply with Data Protection legislation.
The ICO will always expect you to have raised your concerns with us before submitting a complaint.
